Pull up with a cup of tea and read it. How not to fire a client (or how to graciously be fired, as the case may be).<\/strong><\/h3>\n\n\n\n<p>I had a conversation with an entrepreneur this week about\nhow she made some changes in her business, and decided to go a different route\nwith support.<\/p>\n\n\n\n<p>That meant that she had to cut ties with a VA she had\nworked with for a number of years.<\/p>\n\n\n\n<p>It didn\u2019t go well. <\/p>\n\n\n\n<p>It inspired me to write this article because this is a\nvery important thing to GET RIGHT as a business owner.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">It\u2019s never easy when you stop working with a client. Especially if it\u2019s their decision.<\/h3>\n\n\n\n<p>It\u2019s like coming to the end of a relationship. Well, it\nreally is.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">But in business, that\u2019s all it is \u2013 it\u2019s not personal, it\u2019s business.<\/h3>\n\n\n\n<p>And frankly, if a client wants to go in another direction\nfor ANY reason at all, that is their prerogative. It\u2019s their business, not\nyours.<\/p>\n\n\n\n<p>Just like you get to decide what happens, and when, in\nyour business, they get to as well.<\/p>\n\n\n\n<p>So &#8230; this story the entrepreneur told me is not isolated. I get a lot of people talking to me about how things go sour. It happens.<\/p>\n\n\n\n<p>Virtual assistants who find themselves micromanaged or\nbullied by clients who treat them like employees.<\/p>\n\n\n\n<p>Clients who get ghosted by VAs or get overbilled, or just\nspend too much time trying to communicate their needs.<\/p>\n\n\n\n<p>Or sometimes personalities just don\u2019t mesh. I had a\nclient once who had ADHD and I could not support him in the way he needed. I loved\nhim but I wasn\u2019t the best person for him so we found him a new VA. (He made a\nlot of last minute changes to everything we did and I was a very busy VA at the\ntime and it derailed my schedule a lot, so it just was not working out.)<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>There are a lot of reasons that things don\u2019t work out\nwith a client. <\/strong><\/h3>\n\n\n\n<p>It\u2019s JUST business. We move along and we find a better\nclient, or they find a better VA.<\/p>\n\n\n\n<p>We can\u2019t take it personally. Business is hard enough.<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1200\" height=\"628\" src=\"https:\/\/www.yourvamentor.com\/blog\/wp-content\/uploads\/2023\/02\/YVAM-How-Not-to-Fire-a-Client-1.png\" alt=\"\" class=\"wp-image-3385\" srcset=\"https:\/\/www.yourvamentor.com\/blog\/wp-content\/uploads\/2023\/02\/YVAM-How-Not-to-Fire-a-Client-1.png 1200w, https:\/\/www.yourvamentor.com\/blog\/wp-content\/uploads\/2023\/02\/YVAM-How-Not-to-Fire-a-Client-1-300x157.png 300w, https:\/\/www.yourvamentor.com\/blog\/wp-content\/uploads\/2023\/02\/YVAM-How-Not-to-Fire-a-Client-1-768x402.png 768w\" sizes=\"auto, (max-width: 1200px) 100vw, 1200px\" \/><\/figure><\/div>\n\n\n\n<p>The VA I describe above did some rotten things to the\nclient when they got fired. Please don\u2019t do that if it happens to you. It\u2019s not\nworth it!<\/p>\n\n\n\n<p><strong>Here is how not to fire a client:<\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>1.<\/strong> <strong>Do not be a jerk.<\/strong><\/h3>\n\n\n\n<p>Always be professional. Name calling or other rude\nbehavior is simply not where you want to go as a professional business person.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>2.<\/strong> <strong>Do not remove access to any of their stuff.<\/strong> <\/h3>\n\n\n\n<p>Whether it\u2019s a website, a project management system, a bookkeeping platform or whatever \u2013 do not remove access to what is theirs simply because you are mad. (If it&#8217;s a deliverable they haven&#8217;t paid for, there is an exception, but in this case I mean anything that is their business property.)<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>3.<\/strong> Do not ruin your own reputation. <\/h3>\n\n\n\n<p>The client you are working with knows people, and you don\u2019t want them telling others how you handled the breakup. Always leave a relationship as intact as possible.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">4. Don\u2019t let things become toxic. <\/h3>\n\n\n\n<p>Make sure things don\u2019t go too far by the time one of you decides\nit\u2019s over. If you consistently get upset by a client, fix the situation promptly,\nor make the decision to move along from them. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">5. Don\u2019t take your issue online. <\/h3>\n\n\n\n<p>As much as it probably feels good to get pats on the back from your VA colleagues, it\u2019s a public forum when you post online, and it\u2019s not a good idea. (I see it ALL the time in the VA groups, you need to remember that many groups let clients in them too, and they are watching you \u2026) &nbsp;If you need to vent or get advice, do it privately with a trusted colleague or group of colleagues.<\/p>\n\n\n\n<p><strong>Here is what to do instead:<\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Work Towards Final Date<\/strong><\/h3>\n\n\n\n<p>When is the final date you will work together? Put it on\nyour calendar and work towards it. If things have gone sour, there may not be\nany notice. Be sure that you follow your contract terms if you are letting go of\na client.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Project List to Complete<\/strong><\/h3>\n\n\n\n<p>What needs to be completed by the final date? Be\nprofessional and help them get things done. You don\u2019t have to do everything if\nyou don\u2019t feel it\u2019s required, but be sure you communicate to the client what\nwill done and how it will work.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Training New Support<\/strong><\/h3>\n\n\n\n<p>Some clients will ask you to train their new support\nstaff. You have no obligation to do so. But you should at the least leave them\nthe access details and a general summary of what gets done when, and using\nwhich systems. It\u2019s the professional thing to do<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Offboarding Process<\/strong><\/h3>\n\n\n\n<p>If you don\u2019t have one, you should create an offboarding\nprocess. I recommend a 30 day termination \u2018in writing\u2019 clause in your contract\nfor a client to stop working with you. And then a one or two week offboarding process\nthat helps you provide basic instructions\/procedures to the client for their\nnew support.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Be Ethical<\/strong><\/h3>\n\n\n\n<p>You never know how someone will react when things go\nsour. We see lots of evidence to that effect in the news. Be ethical. Be\nprofessional &nbsp;right till the very end,\neven if it\u2019s difficult. Don\u2019t open yourself up for a legal or ethical battle \u2013\nit\u2019s simply not worth it. It\u2019s just business.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Grin and Bear It<\/strong><\/h3>\n\n\n\n<p>You may not get your 30 days, or extra pay from a client\nyou are breaking up with. If they don\u2019t agree to pay the final 30 days then you\nare not obligated to hang in there, but as much as you can, I recommend\ngrinning and bearing it to offload them. It makes for a more professional\nfinish to your relationship and then when they are speaking with their\ncolleagues, they will remember how helpful you were when it was time to part\nways.<\/p>\n\n\n\n<p>People remember the last conversations or few weeks they\nhave with you. It\u2019s an opportunity for you to do it well, and then move on.<\/p>\n\n\n\n<p>Having said all of that, sometimes the clients are the\nunreasonable ones. But from this article I hope you get some tips on how to\nhandle yourself if you want to fire a client, or if you get fired yourself.<\/p>\n\n\n\n<p>Make sure you get paid what you are owed \u2013 but even if that goes badly in the end, do what you can to get away unscathed (and then adjust your terms and policies for your new clients by having them pay you up front!).<\/p>\n\n\n\n<p>Hold your head up high, offboard them as smoothly as possible, and get the heck out! You\u2019ll be a more respected Virtual Assistant as a result \u2013 and once you\u2019ve done that once, you\u2019ll realize how much better it feels too!<\/p>\n\n\n\n<p><em>How did things wind up with that VA\/client I told you about?<\/em> Well, not good. The client wanted advice from me on what to do \u2013 and I told her I would have taken legal action against the VA. And I don\u2019t give that advice lightly. Even though I only spoke with the client in this case, the VA cost the client financially \u2013 and that\u2019s simply illegal. Don\u2019t be like that VA. It\u2019s not personal, it\u2019s just business.
