This one often happens in the early days, but honestly, sometimes even years into their business.<\/p>\n\n\n\n<p>It\u2019s not defining their services clearly.<\/p>\n\n\n\n<p>And when I say \u201cclearly,\u201d I don\u2019t mean just listing a few tasks on a website or profile and hoping clients will figure out how they can use you.<\/p>\n\n\n\n<p>I mean really understanding what you offer, how it helps, who it\u2019s for, and how you\u2019re packaging it and positioning it. Because when that isn\u2019t clear, nothing else in your business works the way it should.<\/p>\n\n\n\n<p>Let\u2019s talk about why this happens, what it causes, and what you can do instead.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Why VAs Struggle to Define Their Services<\/h3>\n\n\n\n<p>When you\u2019re starting out, you don\u2019t always know what you want to offer.<\/p>\n\n\n\n<p>That\u2019s fair. You might have experience from past jobs, or skills you\u2019ve taught yourself, or things you\u2019ve seen other VAs do and thought, \u201cMaybe I could do that too.\u201d So your list of services starts out very\u2026 well, <em>broad<\/em>.<\/p>\n\n\n\n<p>That broadness feels like safety. It feels like, if you list more things, you\u2019ll appeal to more people. But the opposite is actually true.<\/p>\n\n\n\n<p>Here\u2019s what happens instead: When your service list is vague or all over the place, potential clients don\u2019t see you as <em>the person<\/em> for their problem.<\/p>\n\n\n\n<p>They might see you as capable, but the won\u2019t see you as specialized.<\/p>\n\n\n\n<p>And in a market with thousands of VAs, clients are not looking for \u201ccapable\u201d, they\u2019re looking for a match.<\/p>\n\n\n\n<p>The clearer you are, the more you feel like a match to someone. The fuzzier you are, the easier it is to skip right past you.<\/p>\n\n\n\n<p>There isn\u2019t anything wrong with being a generalist, don\u2019t get me wrong, but you have to OWN that if you do.<\/p>\n\n\n\n<p>Often clients are looking for help with something in particular \u2013 so if you can help them with that, they will stop to pay attention.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">The \u201cLaundry List\u201d Mistake<\/h3>\n\n\n\n<p>One of the classic signs that a VA hasn&#8217;t defined their services properly is the <em>laundry list<\/em>. It\u2019s when you have 30 or 40 random tasks on your website or social profile: data entry, scheduling, graphic design, travel booking, CRM cleanup, funnel builds, inbox management, podcast editing\u2026<\/p>\n\n\n\n<p>Now, can you <em>technically<\/em> do all of those things? Maybe. Probably.<\/p>\n\n\n\n<p>But do you want to? Do they belong together? Do they attract the same kind of client? Probably not.<\/p>\n\n\n\n<p>What usually happens is that VAs collect tasks like badges. Every time they learn something new, they add it to the list. But a long list doesn\u2019t communicate confidence or clarity, it communicates desperation.<\/p>\n\n\n\n<p>And that\u2019s not what your ideal clients are looking for.<\/p>\n\n\n\n<p>You may not feel desperate, but if you still think that you should be marketing every single thing you know how to do in the hopes that someone will see it and go Ahh \u2013 there it is! \u2013 I\u2019m sorry to say that is desperation.<\/p>\n\n\n\n<p>Getting clear on who you help BEST is the better way. And doubling down on it so that you really showcase yourself as the expert is the thing to focus on.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Why Clarity in Your Services Matters<\/h3>\n\n\n\n<p>Let\u2019s take a step back. Defining your services clearly isn\u2019t just about making your website tidy. It\u2019s about making your <em>business easier to run<\/em>.<\/p>\n\n\n\n<p>When you\u2019re clear on your services, you:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Know exactly what to say when someone asks what you do.<\/li>\n\n\n\n<li>Can package and price your services with confidence.<\/li>\n\n\n\n<li>Attract clients who <em>already want<\/em> what you\u2019re offering.<\/li>\n\n\n\n<li>Don\u2019t waste time customizing everything for every inquiry.<\/li>\n\n\n\n<li>Have an easier time saying \u201cno\u201d to work that isn\u2019t a good fit.<\/li>\n<\/ul>\n\n\n\n<p>You also make marketing and selling so much simpler, because you\u2019re not reinventing the wheel every time.<\/p>\n\n\n\n<p>This is a huge area I help VAs with inside my workshops and coaching programs. Because it\u2019s not just about what you\u2019re capable of doing, it\u2019s about what you want to be known for and what you want to get paid well for.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">What Happens When You Don\u2019t Define Your Services<\/h3>\n\n\n\n<p>If you\u2019ve ever experienced feast or famine, burnout, scope creep, or undercharging, there\u2019s a good chance your unclear services played a role.<\/p>\n\n\n\n<p>Let\u2019s break that down.<\/p>\n\n\n\n<p><strong>Feast or famine:<\/strong> When you don\u2019t define your services well, your marketing tends to be inconsistent. You don&#8217;t know who you&#8217;re talking to or what to say, so you either don\u2019t market, or you throw out random offers hoping something sticks. That leads to dry spells\u2026 followed by overwork when you finally land a project.<\/p>\n\n\n\n<p><strong>Burnout:<\/strong> VAs who don\u2019t define their services often end up doing work they don\u2019t enjoy, just to pay the bills. You\u2019re constantly bending your business around your clients instead of structuring it in a way that works for you.<\/p>\n\n\n\n<p><strong>Scope creep:<\/strong> If your services aren\u2019t clearly defined and documented, clients will test the waters. They\u2019ll ask for \u201cjust one more thing\u201d or \u201cquick help with something else,\u201d and it\u2019s hard to push back when <em>you<\/em> haven\u2019t set the boundaries.<\/p>\n\n\n\n<p><strong>Undercharging:<\/strong> This one\u2019s big. If you\u2019re offering vague or mixed services, it\u2019s hard to price them properly. You either undercharge because you don\u2019t know the value, or you give a price and then do double the work because the client expects more.<\/p>\n\n\n\n<p>That\u2019s not a sustainable business model.<\/p>\n\n\n\n<p>I definitely used to have a laundry list of services on my website \u2013 don\u2019t think I didn\u2019t! I teach you the things that I did wrong, and the things that I know other VAs like you have done wrong \u2013 so that you can take the smarter path to success.<\/p>\n\n\n\n<p>It was only when I got really clear on who I helped \u2013 in my case it was 6 and 7-figure business coaches, that I could define the services I offered that supported them. Not every single thing I knew how to do, but actual coaching support.<\/p>\n\n\n\n<p>Client care, scheduling and coaching materials, &nbsp;group coaching program marketing and management, virtual event management. These things are still considered general admin, but once I started marketing them specifically as a coaching support package, coaches noticed me. And they hired me!<\/p>\n\n\n\n<p>I was able to get paid what I wanted, I was doing work I loved, and I got referrals from my clients because I made them look good, and their colleagues wanted me to do the same for them.<\/p>\n\n\n\n<p>Business became so much easier because I got clear on what I did and who it helped. And the same thing can happen for you too.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">What \u201cDefining Your Services\u201d Actually Means<\/h3>\n\n\n\n<p>Let\u2019s talk about what it <em>really<\/em> means to define your services. Because this isn\u2019t just picking three random things to list.<\/p>\n\n\n\n<p>Here\u2019s what a clearly defined service offering includes:<\/p>\n\n\n\n<ol start=\"1\" class=\"wp-block-list\">\n<li><strong>The specific deliverables.<\/strong> What exactly are you doing for the client? Can you describe it in one sentence? Is it a one-time service or ongoing?<\/li>\n\n\n\n<li><strong>The value of the service.<\/strong> Why does this service matter to the client? What problem does it solve, or what result does it help them achieve?<\/li>\n\n\n\n<li><strong>The ideal client.<\/strong> Who needs this service? Who is it <em>not<\/em> for? Think industry, business model, or even personality type.<\/li>\n\n\n\n<li><strong>The format.<\/strong> Is this a package, a retainer, a project, or something else? How is it structured and delivered?<\/li>\n\n\n\n<li><strong>The price.<\/strong> Are you pricing it based on value, not time? Does the price reflect the transformation or support you\u2019re providing?<\/li>\n<\/ol>\n\n\n\n<p>When you\u2019ve thought through all five of these elements, your services become assets. They\u2019re marketable. They have built-in boundaries. And they make your entire client journey smoother.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Common Objections VAs Have<\/h3>\n\n\n\n<p>I want to address a few thoughts that might be popping up for you right now, because I\u2019ve heard them all before:<\/p>\n\n\n\n<p><em>\u201cBut I like variety!\u201d:<\/em> Defining your services doesn\u2019t mean you never do anything else \u2013 it means you get intentional about what you <em>lead<\/em> with. You can still have one-off offers or say yes to certain projects. But your core services are your foundation. Remember it\u2019s about what you market, not what you actually say yes to.<\/p>\n\n\n\n<p><em>\u201cWhat if I niche down too far and lose clients?\u201d:<\/em> The opposite happens. When you specialize, you stand out. You attract people who are looking for exactly what you offer. Broad = forgettable. Clear = desirable.<\/p>\n\n\n\n<p><em>\u201cI don\u2019t know what I want to specialize in yet.\u201d:<\/em> That\u2019s totally fine. You can test things out \u2013 but do it strategically. Choose one service or client type to focus on for 60-90 days. Market it. Deliver it. Learn from it. Then evaluate. If it\u2019s not what you want to do, them make a change. But you have to try it out for a good 3 months to be sure. (That\u2019s why you should focus on what you love to do!)<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How to Start Defining Your Services<\/h3>\n\n\n\n<p>If you\u2019re feeling unclear about what you offer, or if your list is long and scattered, here\u2019s a simple exercise to start:<\/p>\n\n\n\n<ol start=\"1\" class=\"wp-block-list\">\n<li><strong>List everything you currently offer.<\/strong> Just get it all out of your head and on to paper.<\/li>\n\n\n\n<li><strong>Circle the ones you enjoy and do well.<\/strong> Be honest. Which services light you up? Which ones feel like a drag?<\/li>\n\n\n\n<li><strong>Look for themes.<\/strong> Are there types of tasks that naturally go together? Or client types who tend to hire you for similar things?<\/li>\n\n\n\n<li><strong>Choose your core 2 \u00a0or 3 services.<\/strong> These should be things you enjoy, can do confidently, and are in demand.<\/li>\n\n\n\n<li><strong>Create a simple description for each.<\/strong> One sentence that explains the what, the who, and the value.<\/li>\n\n\n\n<li><strong>Price them based on outcome, not effort.<\/strong> Consider how much value you\u2019re creating, not how long it takes you.<\/li>\n<\/ol>\n\n\n\n<p>This is the exact process I guide my clients through in my workshops and coaching programs. Because it\u2019s not always easy to see the patterns on your own. If you need help with this, reach out. This is one of the foundational shifts that helps VAs go from scattered and stressed to booked and confident.<\/p>\n\n\n\n<p>Defining your services clearly isn\u2019t about boxing yourself in, it\u2019s about creating clarity and confidence for <em>you<\/em> and for your clients.<\/p>\n\n\n\n<p>It\u2019s about showing up in the market as a business owner who knows what they do, who they help, and how they deliver results.<\/p>\n\n\n\n<p>And when you get that part right, everything else gets easier.<\/p>\n\n\n\n<p>So if you\u2019ve been listing \u201ca little of everything\u201d or haven\u2019t updated your services since you started, this is your sign to take a step back and reassess. Your business will thank you for it, and so will your future clients.<\/p>\n\n\n\n<p>Let\u2019s circle back to today\u2019s quote: &#8220;The essence of strategy is choosing what not to do.&#8221; When you can define what you DO, you also define what you <em>won\u2019t<\/em> do.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Do You Need Help?<\/h3>\n\n\n\n<p>Clarity is key, and making the choice to do this and not that is what is going to help you set yourself apart from other VAs.
